Engagement renewal, automated end-to-end (open beta)

Renewing engagements in Karbon just got much smarter and easier. From setting renewals on auto-pilot with pricing adjustments baked in, to auto-linking matching work to the renewal, these updates automate much of your renewal process so you can get back to doing more valuable client work.

What’s new:

  • Set renewals on autopilot: Turn on auto-renew for any engagement and Karbon creates a pre-filled draft before the end date. Set how far in advance you want it (default is 90 days), and your team just reviews and sends.

  • Renew engagements in one click with pre-filled details: A new Renew button on any active or ended engagement creates a ready-to-send draft instantly, with services, fees, signatories, and agreement text already filled in. Dates adjust automatically.

  • Auto link work to renewal engagements: When an engagement renews, Karbon automatically reconnects the recurring work linked to the original. No manual re-linking needed. Everything carries over and picks up where it left off.

Additional capabilities like bulk engagement renewals will be coming in the near future.

Edit service names and descriptions in a draft engagement

You can now easily edit service names and descriptions directly on the draft engagement without reworking your Service Templates. Changes carry forward if you duplicate or renew, and the service description field now supports up to 50,000 characters.

Karbon Engagements is currently in open beta and available to all customers who are interested. Request access to try it out.

Billing & Payments

Smoother billing workflows from start to finish

It is now faster to navigate, review, and act on invoices.

What’s new:

  • Better invoice workflow controls: A new Approve and View Next button on draft invoices inside a billing run lets you approve and move to the next invoice in one click without going back and forth in the app.

  • Resolve invoice sync errors due to missing contacts: When an invoice fails to sync because the contact doesn't yet exist in Xero or QuickBooks Online, Karbon now auto-creates the contact and retries the sync, resolving the most common sync error without any manual intervention.

  • Invoice sync status filters: Filter invoices by their sync status to QuickBooks Online or Xero by Synced, Needs Review, or Failed so you can instantly surface what needs attention without scanning the whole list.

Close Automation

Build close checks in Aider with plain-English descriptions 

Describe a check in plain-English and let the AI Rule Builder do the rest. The new Generate Check button turns your description into a structured rule, ready to review, adjust, and save. It works for accounts and transactions, at template or client level. Nothing saves until you approve it, so you stay in control while AI handles the structuring. 

Identify missing W9s during period close

A new ’1099 Vendors Needing W9’ check in Aider's Period Close surfaces vendors above the IRS threshold each month, turning W9 collection from a January scramble into a year-round process. This update will be rolled out in early July.

Karbon for Clients

At-a-glance notification badges across the client portal

Clients using Karbon for Clients now see badges on every primary navigation section (Inbox, Tasks, Signatures, Documents, and Billing), showing at a glance where action is needed. Red badges flag overdue items, and grey indicates pending with no overdue items. Multiple actionable items are indicated by a count on the badge.

The client switcher also shows a dot when other clients in the account have outstanding obligations. No configuration is required for this update.

Karbon Analytics

Report on custom fields in the Karbon Analytics dataset

Custom field data from Contacts and Organizations is now available in the Karbon Analytics dataset. Filter, segment, and report by any custom field you've defined—whether it's industry, client tier, service type, or any other attribute that matters to your practice. All custom field types are supported, including text, number, date, boolean, colleague, and single- and multi-select lists. Field names are automatically resolved to values, making it simple to query, group, and export without manual mapping.

Custom fields are currently accessible in Snowflake for direct SQL queries and third-party analytics tools. They will be available in the updated Analytics dashboards later this year.

Integrations & API

Manage payroll workflows inside Karbon with the new Gusto integration

Accounting firms managing payroll clients in Gusto Pro no longer need to toggle between platforms. The Gusto integration automatically creates work items when a payroll cycle begins, syncs client records, and surfaces deadlines in your Work dashboard and My Week view alongside every other client deadline.

What's included:

  • Automatic client sync: Gusto clients sync with your Karbon contacts during setup

  • Auto work item creation: When a Gusto pay run starts, Karbon automatically creates the corresponding work item using pre-built templates for recurring payroll runs, compliance tasks, client requests, and more.

  • Payroll deadline visibility: Gusto due dates surface in the Work dashboard and My Week view alongside all other client deadlines.

RC Reports integration for reasonable compensation analysis

Karbon now integrates with RC Reports to streamline IRS-compliant reasonable compensation determinations for S-corp owners. RC Reports outputs connect directly to Karbon work items, timelines, and client records, so your team has the analysis where they need it without switching between systems. Tallyfor integration for automated tax workpaper creation

Karbon now connects with Tallyfor so your workflow drives tax prep automatically. When a job hits a designated status in Karbon, Tallyfor creates the client workpaper instantly, with contact data already synced. Staff open Tallyfor and find everything ready to go, no manual exports or spreadsheet reformatting required.  Learn more about the Tallyfor integration.

Platform

New header and side panel experience coming in July

Karbon's header and side panel are being refreshed with a modern design that eliminates clutter, reduces clicks, and makes it easier to find what you need. All your workflows stay the same, so there's no learning curve. This update also builds the foundation for upcoming innovations, including Kai and new features rolling out in the months ahead. The new experience will roll out to all users in July.
