Bulk engagement renewals, more billing visibility, document folder templates, and a refreshed header and side panel

Engagements

Renew engagements in bulk (open beta)

You can now renew multiple engagements with pricing adjustments applied across all at once, significantly reducing clicks and context-switching.

What's new:

  • Bulk renew from the list view: Multi-select engagements, set an optional percentage price increase across fixed-fee services, and confirm. Draft renewals are created in the background and appear in your Drafts tab.

  • Renewal reminder banner: Every engagement due for renewal in the next 90 days or already overdue will appear in a renewal banner on your Engagement List View.

Bulk renewal applies to eligible engagements only: auto-renew and already-renewed engagements are excluded automatically, so nothing is double-renewed.

See every invoice on the engagement billing tab

Manual invoices now appear on an engagement's Billing tab alongside recurring invoices, so no matter how you bill, you can see all billing activity for an engagement in one place.

A new Engagement Billed column shows the portion of each invoice that relates to this engagement, a Sync column shows Xero or QuickBooks Online sync status, and all the usual invoice actions: Send, Void, Record Payment, and View In Your General Ledger work directly from the tab.

Cancel future recurring work

You can now choose to also cancel all future recurring work for the engagement in a few places: ending an engagement, removing services while renewing, and opting out of renewal. Karbon automatically calculates the end date just after the last work item already created, so no existing work is deleted and no new work items are generated after the opt-out.

Billing & Payments

Post invoices (early access)

You can now finalize an invoice without emailing it to your client, decoupling financial finalization from client communication.

What's new:

  • Post without sending: The new Post action locks the invoice and generates a downloadable PDF, so you can print and mail invoices for clients who don't use email.

  • Apply payments or credit before anything goes out: Post first, apply a payment or credit, then send or don't send at all, so clients see the remaining Due amount.

  • Close billing runs cleanly: Bulk post every outstanding invoice when closing a billing run to lock the period in one step.

  • Finalize $0 write--offs: Post a $0 WIP write-off without being prompted to email the client.

Posted invoices can be sent at any time, and are visible in Karbon for Clients for payment.

Get invoice payment link (early access)

Want to remind a client about a particular invoice in the middle of another email? Now you can.

What's new:

  • A new View and Pay Invoice option: Find it in the invoice menu on any invoice.

  • Opens in a new tab: Takes you straight to the payment link your client would use to pay through Karbon Payments.

  • Send it your way: Copy the link and drop it into an email, text, or wherever you're already talking to your client.

Note: This is a phased release. We will gradually roll out this capability to all users.

View processing payments

Direct debit payments now appear on the AR ledger the moment they enter processing, dated to the original payment date, and the invoice is marked as Paid instantly.

The payment and fees sync to Xero or QuickBooks Online right away, and if a payment later fails, Karbon automatically reverses the entry and reopens the invoice. This update lets you close accounting periods on time, gives billing admins visibility into in-transit payments, and keeps the general ledger accurate across the full payment lifecycle.

Documents

Organize documents with default folder templates (early access)

Firm admins can now configure a default folder structure in Settings that automatically applies to all new work items.

What's new:

  • Folder template settings: Define, edit, and activate a folder structure from Settings (admin-only). The template applies across all service types and is automatically applied to new work items.

  • Folder navigation in work item documents: The Documents tab now displays the folder structure, with breadcrumb navigation to make it easier to navigate and find files within a work item.

  • Move document flow: Move documents between folders within a work item to keep files organized and correct any misfiled documents.

  • Client documents: Grouped by service type with per-work-item folder navigation.

  • Client portal column: Classifies whether a document is From the Client or Shared with the Client, and where it is located in the Karbon for Clients portal folder structure.

Folder Templates can be activated from Settings, allowing firms to configure their folder structure for documents.

This feature is currently available through early access for selected participants. If you're interested in trying it, you can request early access.

Karbon for Clients

A folder view for client documents in the portal (early access)

Karbon for Clients replaces the flat document list with a structured folder view that mirrors how your firm organizes work: documents are grouped by service type, then by work item, with predictable subfolders for files you deliver and files your client uploads.

Clients get a guided destination picker when uploading, so files land in the right work item instead of a general pile, and the client work team is notified when a document is shared or uploaded. When a firm activates folder templates, existing client documents are reorganized into the same structure automatically.

eSignature

Set a signing order for eSignature requests

You can now control the exact sequence in which recipients sign a document. Each person is notified only when the person before them has finished, so a partner can review and sign before it reaches the client, and internal sign-off can be completed before anything goes external. The signing order and timestamps are captured as metadata, helping firms meet local regulations that require signatures in a specific order.

Integrations & API

Juno

Karbon has partnered with Juno to bring tax return preparation automation to Karbon customers. The integration syncs Karbon work items and attached documents directly into Juno, which automates data extraction and verification, builds review-ready workpapers, and pushes verified data into leading tax software providers (Drake, Lacerte, ProConnect, CCH Axcess, and more). This eliminates double data entry, reduces hours per return, lowers error risk, and keeps the entire engagement workflow inside Karbon.

Platform

New header and side panel experience

Karbon's header and side panel have been refreshed with a modern design that eliminates clutter, reduces clicks, and makes it easier to find what you need. All your workflows stay the same, so there's no learning curve. This update also builds the foundation for upcoming innovations, including Kai and new features rolling out in the months ahead. The new experience is now in the process of rolling out to all customers in phases.
