It supports invoicing across multiple billing models, online payment collection, a client portal for self-service payments, WIP and realization reporting, AR aging, budget vs. actual tracking, and native integrations with QuickBooks Online and Xero. Firms with more complex setups can also use the billing API to connect to any GL.

What billing models does Karbon support?

Karbon supports time and materials, fixed fee, recurring fixed fee, progress billing, WIP billing, and ad hoc invoicing. You can mix billing models across clients and adjust as needed. Invoices are built automatically from time entries and work items already in the system, so you’re always starting from a real baseline, not a blank page.

Can invoices be automated based on billing schedule?

Yes. For fixed fee recurring services, Karbon automatically generates invoices on a weekly or monthly schedule. These recurring invoices are auto-approved and go directly to Approved status, bypassing the draft and review stage entirely.

For ad hoc invoices, Karbon automatically surfaces unbilled work eligible to be invoiced, and you can generate invoices triggered by work start or work completion. Ad hoc invoices go through a review and approval step before being sent, either in bulk or individually.

Does Karbon use AI for time tracking and billing?

Karbon surfaces suggested time entries to help you catch missed time. When activities occur within a work item, such as completing tasks, changing work status, sending linked emails, or commenting on notes with no time recorded, Karbon adds a suggested time entry to your timesheet for that day. You can then review and confirm these suggestions as you see fit to ensure all billable work and time are captured.

Which accounting software does Karbon integrate with?

Karbon Billing & Payments has native integrations with QuickBooks Online Accountant and Xero, with automatic sync of invoices, payments, and surcharges. For firms running NetSuite, Sage, or another GL, the Karbon Billing APIs let you pull invoice and payment data directly to your system of choice.

Payment processing fees apply per transaction: Standard Visa/Mastercard credit and debit cards are 2.6% + $0.30 USD, premium and international cards are 3.6% + $0.30 USD; American Express is 3.9% + $0.30 USD, and ACH/direct debit is 1% + $0.30 USD, capped at $5.00 USD per transaction. The ACH cap makes direct debit particularly cost-effective for firms sending large invoices.
