Summary

The Guided Plus Implementation is a collaborative process spanning 8-12 weeks. In order to maximize project success, it is critical that the Karbon Champion (see below) work closely and in a timely manner with the Karbon Implementation Team to meet the project goals and objectives listed in this document.

Our best-in-class templates include:

  • Month-end close (e.g. monthly accounting)
  • Weekly bookkeeping
  • Sales tax filing
  • Quarterly sales tax filing
  • Payroll processing
  • 1099 processing
  • Individual tax returns
  • Business tax returns

To maximize project success, your appointed Karbon Champion (see below) can expect to work closely and timely with the Karbon implementation team to meet the project goals and objectives listed below.

Scope

  • One (1) kickoff session with the Karbon Implementation Leader
  • Assisted Contact Import using Karbon’s AI Data Mapper, available contact sync integrations (QBOA or Xero Practice Manager) or Karbon contact import template
  • Four (4) One-Hour template overview sessions with a Karbon Expert, includes the following supported adjustments:
    • Renaming roles
    • Renaming tasks and task descriptions
    • Adding email templates
    • Customizing automators
    • Adding new sections
    • Changing workflow settings
  • Karbon Implementation Leader to complete template review
  • One (1) bulk work creation (see definitions)
  • One (1) 75-minute team training session with Karbon Expert to equip your firm with high-level in-app best practices
  • One (1) 45-minute manager training session with the Karbon Implementation Leader focused on best practices, monitoring capacity, and staff utilization
  • Dedicated Support from the Implementation Team until all Implementation milestones are met, up to 12 weeks from Kick-Off Date
  • Access to 24x5 Karbon Support

Definitions

  • Work Item - A work item is synonymous with a service you provide (job or project in other software). It contains the list of tasks needed to complete a single project that can either be recurring or standalone. The implementation does not cover migration or customization of work items for specific clients or internal processes.
  • Work Template - A preformatted list of tasks that can be used to automate processes or project work such as monthly accounting, payroll, and tax prep. This implementation will use our prebuilt best-practice templates designed for this implementation package and your Karbon Expert will provide general guidance only. This implementation package does not include importing workflows from other software, building templates from scratch, etc.
  • Karbon Implementation Leader - A Karbon employee or consultant who supports your team by managing the project, sending next steps, and being available for questions via email.
  • Karbon Expert - A Karbon employee or consultant who leads the team training sessions.
  • Bulk Work Creation - The creation of work items in mass using the work templates described above. An example would be creating ten (10) personal tax return work items for ten (10) different clients using the one (1) Karbon work template called “Personal Tax Return Template”. Work items will be created in bulk using Karbon’s assistive tool. The Karbon Champion will be responsible for entering information.

Karbon Champion

The Karbon Champion is a single person in the firm who takes ownership of the implementation, attends all meetings, and is responsible for completing tasks and required independent work throughout. Common designations are a Director of Operations, an Accounting Manager, or a tech-savvy accountant.

The appointed Karbon Champion should:

  • Be available to allocate 4 hours per week to implementation tasks
  • Have the authority to lead the transition and manage change during implementation
  • Have a strong understanding of the firm operations, workflows, and accounting knowledge
  • Previous experience with software implementations or project management is a plus

To meet project plan timelines the Champion will:

  • Complete pre-work and action items assigned in between meetings to ensure milestones are met
  • Respond to all questions within 48 hours
  • For any meetings that need to be rescheduled, give at least 48 hours of notice and reschedule within a 5-day timeframe (last-minute cancellations including no-shows may result in a $150 fee)
  • Operate as the one point of contact (and decision maker) with the Implementation Leader

Best Practices:

  • Leverage our Karbon’s library of support articles and Karbon Academy to enable all team members to expedite learning and self-service
  • Utilize our 24x5 Karbon Support team for immediate assistance with questions

Additional Services for Purchase (Outside of Scope)

  • Additional Workflow and/or Training Sessions
  • API and/or Integration Setup excluding XPM, QBOA, ProConnect, Ignition, GoProposal, or the following document management systems: OneDrive, Dropbox, Sharepoint
  • Ancillary Feature Setup (e.g. Document Management System, Karbon Practice Intelligence, Insights, etc)
  • Anything outside of general guidance on prebuilt best-in-class templates designed for this implementation package
