This release brings Karbon’s full Xero integration to life, syncing contacts, invoices, and payments seamlessly between both tools. Progress reports are now available to all, giving you greater visibility across tax and other high-volume workflows.

Karbon + Xero: Full integration now live

The complete Karbon-to-Xero workflow is here. You can now sync contacts, invoices, and payments from Karbon to Xero automatically, eliminating duplicate data entry and time-consuming manual reconciliations.

What’s new:

  • Two-way contact sync: Import Xero contacts into Karbon and keep them in sync automatically.

  • Automatic invoice sync: Invoices created and sent in Karbon automatically generate matching invoices in Xero.

  • Two-way payments sync: Payments in Karbon mark the linked Xero invoice paid, and payments entered in Xero sync to Karbon.

  • Clearing account flow: Karbon-collected payments debit the Xero clearing account and reconcile the invoice in Xero.

  • Accurate journals: Base, fee, and surcharge split to mapped Xero GL accounts, and entries include payment and invoice IDs for audit clarity.

  • Faster reconciliation: Use a simple ‘Karbon’ bank rule in Xero to clear payouts against the Karbon clearing account, and the month-end gets lighter.

Work

Track progress across tax and high-volume workflows

Progress reports help you visualize work across each stage of the tax season or for other high-volume workflows. This feature will be rolled out in phases to all customers over the next week. Once available, you will see a new ‘Progress Reports’ tab under Work.

What’s new:

  • Section-level visualization: See how many work items are Planned, In Progress, Waiting, Completed, or Overdue at a glance.

  • Flexible filtering: Filter by work type, template, client, client type, client group, assignee, due date, or deadline to get the exact view you need.

  • Custom saved views: Save your filtered reports and share them with your team to monitor key segments of work throughout the season.

  • Intuitive charts: Pie and funnel visualizations give real-time insight into how work is moving through each stage.

Progress reports help you spot bottlenecks, rebalance workloads, and maintain momentum across long-running tax or accounting services, giving firm leaders confidence that every engagement is progressing on time.

With tax-specific automators, integrations, organizers, and templates, Karbon enables tax teams to execute seamlessly, across seasons and client types. Bulk work creation improvements

A more flexible and intuitive bulk work creation experience makes work management more efficient.

What’s new:

  • Bulk-create work for custom client segments directly from the Work tab.

  • Create work for up to 2,000 contacts at once.

  • Assign due dates and deadlines directly in the creation flow, with flexible options including fixed or relative dates.

  • See a clear confirmation screen before submission, reducing mistakes and making it easier to review your setup.

  • Quickly review what’s been generated with a filtered Work view sorted by creation date.

Move items to Later in Delegated Triage

A Later tab is added to give your delegates the ability to move items in your Delegated Triage to Later.

If you’re new to Delegated Triage, this feature allows others to manage your Triage—clearing, replying to, or categorizing emails on your behalf. With this update, managing someone else’s inbox is even more seamless, keeping everything organized and actionable.

Time & Budgets

Improve time tracking accuracy with mandatory time entry notes

The new mandatory time entry notes setting gives firms greater control and visibility over time tracking by requiring users to include notes with every time entry. This ensures that all logged hours have context, improving clarity during billing reviews and project evaluations.

What’s new:

  • A new Notes Required toggle is available in Settings > Time & Budgets.

  • When enabled, time entries cannot be saved without notes, regardless of where time is logged—whether from timesheets, work items, or the global add function.

  • Users can start a timer freely but must enter notes when stopping and confirming it.

  • Firms can enable or disable this setting at any time to suit their workflow.

Faster payroll and utilization reporting

You can now include detailed time entries in utilization exports, making it easier to calculate payroll and analyze productivity.

Previously, firms had to manually combine and clean multiple timesheet exports to prepare payroll data. Now, you can:

  • Choose a date range and export utilisation data including time entries.

  • Build your pivot table directly from the export.

  • Adjust and import data into payroll without merging or reformatting files.

This change streamlines payroll preparation, saving significant time each cycle and reducing the risk of human error.

Integrations & API

Seven new integrations are now available to maximize the connectivity of your tech stack to Karbon.

  • Abacor is an AI-powered meeting assistant purpose-built for accounting firms. The Abacor and Karbon integration syncs contacts, meeting notes, transcripts, and action items back into Karbon client timelines.

  • Brieff is an AI-powered, client-centric meeting platform for accounting firms growing their advisory services. The Brieff and Karbon integration surfaces direct links to Brieff meeting workflows and related content, such as client check-ins, actions, agendas, notes, and attachments, inside the relevant Karbon organizations and contacts.

  • Calendly is a leading scheduling platform that automates the process of booking meetings. The Calendly and Karbon integration helps firms streamline their sales process by automatically creating new contacts and triggering work items in Karbon whenever a prospect books a meeting through Calendly.

  • Intuit Mailchimp is a leading email marketing and automation platform. The Intuit Mailchimp and Karbon integration bridges the gap between your firm’s client data and marketing outreach. By syncing contacts from Karbon into Mailchimp, accounting firms can segment, engage, and track email marketing campaigns—all powered by accurate and up-to-date contact data.

  • Microsoft Entra ID, is a cloud-based identity and access management solution. The Microsoft Entra ID and Karbon  integration makes managing user access effortless for IT and operations teams. When a new team member is provisioned in Microsoft Entra, they’re automatically added to Karbon with the same name and email address.

  • Moorepay provides UK-based payroll & HR software, including Natural HR, a comprehensive HR platform for employee management, payroll, leave tracking, and compliance. The Moorepay and Karbon integration streamlines time management for payroll and HR teams. When an employee’s approved timesheet in Karbon exceeds their weekly capacity, the extra hours are automatically added as Time Off in Lieu (TOIL) in Moorepay.

  • Soraban is the admin system built for accounting firms — powered by AI, integrated with your stack, and designed to eliminate manual work across intake, data entry, and deliverables. The Soraban and Karbon integration shows questionnaire progress and engagement history right in Karbon for a unified, up-to-date view that keeps your team on track.
