Is Karbon a document management system?

Karbon includes document management built into your practice management platform. You can store, organize, share, and collect client files in the same place your team handles client email and work, and every file stays connected to the right client and work item.

Karbon isn't a standalone DMS, but it covers what most accounting firms need day to day. If you'd rather keep files in storage you already use, Karbon connects to it.

Do I need Dropbox, OneDrive, or Google Drive to store documents in Karbon?

No. Karbon Storage lets you upload, organize, and download files without connecting to an outside provider. If your firm already keeps documents in Dropbox, OneDrive, or Google Drive, you can connect that account instead and work with those files directly in Karbon.

Which document storage providers does Karbon integrate with?

Karbon connects with Dropbox, OneDrive (including SharePoint), and Google Drive. You connect one external provider at a time. You can also use Karbon Storage on its own if you'd prefer not to connect an outside provider.

Can I keep my firm's own folder structure?

Yes. Karbon works with the folder structure your firm already uses. After you set up storage, connect individual folders to the work items they belong to, so the right files sit alongside the right jobs in one place.

Does recurring work keep its connected folders?

Yes. Set a connected folder for recurring work on the Repeating Settings page, and Karbon sets up a folder for each new instance of that work.

Can one folder be connected to multiple work items?

Yes. A single folder can be connected to more than one work item or repeating work item.

Can my clients upload documents to Karbon?

Yes. Request files through your secure client portal, and your client can upload them from any device. Their documents attach to the right client, work item, and timeline in Karbon, so nothing sits in an inbox waiting to be filed.

Can I connect Karbon to my eSignature tool?

Yes. Karbon has native eSignatures built in, and its open API lets firms integrate external tools like DocuSign or Liscio. Either way, signed documents flow back to the right client and work item without manual filing.

How do I set up document storage in Karbon?

Go to Settings > Document Storage and choose how you want to store files. Your options are Karbon Storage, Dropbox, OneDrive (including SharePoint), and Google Drive. To connect an external provider, an admin connects the account first. Each team member then connects through their profile page in Karbon.

Are my documents secure in Karbon?

Yes. Karbon is SOC 2 Type 2 certified, and your data is encrypted in transit (TLS) and at rest (AES-256). Audit trails track collaborator actions on files. When you connect an external provider, files stay in your firm's Dropbox, OneDrive, or Google Drive account.

Access depends on each team member's Karbon permissions, plus your storage provider's permissions if you've connected one.

Is there a limit on how many documents I can store?

No. Karbon doesn't limit how many documents you can store. If you connect an external provider, check that provider's storage limits.
