Karbon for Clients now supports invoice viewing and payment, so clients can see what they owe and settle up directly in the portal with no extra emails required. The QuickBooks Online Advanced integration has been expanded to cover all Quickbooks Online product tiers.

View and pay invoices in the client portal

All customers who use Karbon for Clients and Billing can now share invoices with clients and collect payment directly from the client portal. Clients see their invoice and can quickly take action to send payment in the same place they already complete requests, sign documents, and manage tasks.

Unpaid invoices are surfaced clearly with overdue amounts highlighted, so clients always know what they owe without needing to contact your firm. This helps you collect faster and with less friction.

To turn it on, enable the Billing module in your Karbon for Clients settings. You can also control exactly which client contacts have access to invoices and payments through a dedicated Billing permission that can be granted or removed at the individual level.

Billing & Payments

Automatically exclude historical time entries and expenses from WIP

When migrating to Karbon Billing, setting a billing start date now automatically marks all historical time entries and expenses as ’Excluded’ with no manual cleanup required. Previously, exclusions worked at the work item level, which meant adding a single new time entry could resurface years of historical time in your WIP.

On top of that, you can now manually include or exclude individual time entries and expenses directly from the work item, giving you precise control over exactly what gets billed. This applies to both fixed fee and time and materials billing, so your WIP stays accurate from day one.

Populate invoices automatically with client-specific data

Karbon invoice templates now support contact custom field placeholders, so the right client data appears automatically when an invoice is approved.

Define a placeholder in your template referencing a contact's custom field, and Karbon resolves it at approval with no manual editing required. Reverting an invoice to draft restores the original placeholder text so you can update client data and re-approve cleanly.

Invoicing workflow enhancements

  • Invoice approval now shows who approved: The Activity & Comments tab on an invoice now shows the team member who approved it. For invoices that are automatically approved as part of a recurring billing, the entry will show ’Invoice automatically approved.’

  • Fixed fee final bill toggle is now off by default: The ‘Final Bill for Work’ toggle on fixed fee work items is now off by default so you can decide when a fixed fee work item is fully billed.

  • Subtotal added to the invoice summary bar: The Invoice Summary bar now includes a subtotal amount, giving firms a clearer view of the invoice total before tax is applied.

Engagements (open beta)

Resend engagements

You can now resend engagement acceptance emails directly from Karbon without hunting through sent mails. From any ‘Awaiting Client’ engagements, use the action menu to resend to all unsigned signatories in one click, and optionally include previously signed signatories when needed.

To resend at scale, select multiple ‘Awaiting Client’ engagements from the list view and resend across all of them at once.

Engagements is currently in open beta and available to all customers upon request.

Triage & Work

New email threading options in Triage

Email conversations in Triage can now behave more like they do in an Outlook inbox. A new conversation grouping view shows the latest emails together in the split view of Triage, with the ability to expand the full conversation and click through to individual messages. You can also set your preferred sort order (newest first or oldest first) independently of grouping, so threads read the way you prefer.

Turn on either or both new view options from your new Triage controls.

Browser notifications for Triage

Staying on top of Triage has meant keeping Karbon open on your desktop or checking back frequently. Karbon now sends browser pop-up notifications to your desktop when new items arrive in your Triage, including emails, comments, assigned tasks, client task actions, and work assignments. This helps you stay focused on your work and still respond promptly.

Enable notifications from your Profile settings, and ensure they are allowed in both your browser and system settings to activate.

Documents

eSignature expiry extensions now available to all customers

When a client needs more time to sign, you no longer have to void the request and lose all existing signature progress. You can now extend the expiration date of an eSignature or Approval request directly in Karbon with no recreating or lost credits.

For eSignatures, the extension applies to requests in sent or viewed state and preserves any signatures already collected. A simple modal lets you choose from preset options and see the resulting new expiry date before confirming. Extensions are capped at 365 days from the original send date. This new capability applies to all requests created after this release going forward, but is not retroactive.

Integrations & API

Expanded QuickBooks Online integrations and smarter contact sync

Karbon’s QuickBooks Online (QBO) integration now works across all product tiers: QBO, QBO Plus, and QBO Advanced. Firms using any version of QBO can take full advantage of the integration capabilities, including contact sync, invoice sync, and payment sync.

Plus, all QBO integrations will offer smarter contact sync that makes syncing client information between QBO and Karbon more accurate and automated.

Customers who have already connected QuickBooks Online Accountant with Karbon will be migrated to the new contact sync experience over the next few weeks.
