Aider period close is now live for all US customers with a completely rebuilt experience, smarter checklists, and deeper Karbon integration. This release also brings the ability to create and configure work directly from the Engagements setup, plus eSignature expiry extensions that preserve existing signature progress, self-service API credential management, and configurable timesheet periods to match your payroll cycle.

Close Automation

Period Close Automation, powered by Aider: Rebuilt and now live for all US customers

Aider has a completely rebuilt period close experience with a refreshed UI, more powerful customization, and tighter Karbon integration.

Here’s what’s new with this release:

Period close dashboard

A single view of every client's close status across your portfolio, filterable by period type, industry, and more. See what's complete, what's in progress, and where the biggest issues are, without jumping in and out of client files.

Rebuilt period close checklist

The checklist has been completely redesigned. An alert pane surfaces exactly where work needs attention: unreconciled transactions, data quality issues, outstanding invoices and bills, and P&L and balance sheet variances, organized into clear sections so your team always knows what to work on next. Every built-in check includes a description of what it is, why it matters, and how to resolve it.

Fix a miscategorized transaction, leave a note for a reviewer, mark items as reviewed, and changes are pushed directly to QuickBooks. No switching back and forth.

Custom templates and rule builder

Create templates by industry, service type, or client type and apply them across your portfolio. A best practice template is ready to use out-of-the-box and is fully customizable. The custom rule builder lets you create your own checks based on any combination of conditions: account type, balance thresholds, transaction attributes, variance percentages, and more.

Karbon workflow integration

Connect any Aider checklist to a Karbon work item. Close progress, outstanding alerts, and percentage completion sync directly into the integrated task. When a period is marked as closed in Aider, it updates the work item status and triggers any automations you have set up.

Historical categorization trends

For uncategorized or inconsistently coded transactions, Aider shows how similar transactions have been categorized historically, so your team makes faster, more consistent decisions.

Engagements

Create work directly from engagements (open beta)

Engagements now drives the work your team does. When an engagement is out of a draft status, you can create the linked work right from the engagements setup module.

Your service template handles the heavy lifting: work template, work type, client, and repeat schedule are all pre-configured automatically. You just fill in the details that are specific to a given engagement like task assignees, start date, due date, and description, and all corresponding work items are created and linked instantly.

For repeating services, the schedule is set up based on your service terms. From there, you can select your first work item or fine-tune the schedule to fit your needs.

Edit invoice descriptions for your active engagements

You can now edit the description on automated invoices after an engagement has been activated. Update it any time from the Engagement detail page, and your changes will be reflected on the next automated invoice.

Integrations & API

The Karbon + Gusto integration beta is now open

Karbon is partnering with Gusto to bring payroll workflow management directly into your practice. The integration will sync Gusto clients into Karbon automatically, create payroll work items when each cycle begins, trigger client tasks like timesheet approvals at the right moment, and surface payroll deadlines in your work dashboard and My Week.

Access individual time entries via the Karbon API

The Karbon API now returns individual time entries and their associated dates, rather than weekly aggregates only. Firms integrating with billing systems like NetSuite can feed time data directly into external tools, eliminating manual export and import workflows, and reducing delays in budget versus actuals reporting.

Manage API credentials without a support request

API access is now fully self-service. Firms can now provision their own API credentials directly within Karbon. Keep access to your account secure with in-app credential rotation, allowing you to instantly invalidate and regenerate a new access key as needed.

Documents

Extend eSignature and Approval expiry dates without starting over (beta)

When a client needs more time to sign, you no longer have to void the request and lose all existing signature progress. You can now extend the expiration date of an eSignature or Approval request directly in Karbon with no recreating or lost credits. For eSignatures, the extension applies to requests in sent or viewed state and preserves any signatures already collected. A simple modal lets you choose from preset options and see the resulting new expiry date before confirming. Extensions are capped at 365 days from the original send date. This new capability applies to all requests created after this release going forward, but is not retroactive.

Triage & Work

Stay protected from phishing in Triage

Triage now surfaces email security warnings directly in your inbox, so you can spot and handle suspicious messages without switching back to Outlook or Gmail. Clear security banners appear on emails from unverified senders and those with failed domain authentication—the same kind of signals you'd expect from a native email provider.

See the exact send time on emails in Triage

Karbon now displays the absolute date and time alongside the relative timestamp on expanded emails. Previously, recent emails only showed relative time, e.g. 1 hour ago, meaning you had to check your native email provider to find the exact send time. This is particularly useful for firms with compliance or audit requirements where precise timestamps on client communications are required.

Use filing deadlines when bulk creating repeat work

You can now use filing deadlines when creating repeat work in bulk, matching the behavior already available when creating individual work items. A new On Filing Date option appears in the Contact Add Work and Bulk Create Work modals, with saved filing deadlines searchable when selected.

Time & Budgets

Configure timesheet periods to match your payroll cycle

Admins can now configure the timesheet period that matches how their firm actually operates: weekly with a custom start day, fortnightly, twice a month (semi-monthly), or monthly. Approval views automatically reflect the configured period, so managers can review and approve time in the same cadence as payroll without exporting data, recalculating hours, or manually adjusting entries. You can configure your timesheet period under your firm settings.

Billing & Payments

Edit time entries directly in a draft invoice

Billing admins can now edit time entries without leaving the draft invoice view. Previously, making a correction meant deleting the draft and recreating the invoice. Now you can click any time entry row and make changes inline before the invoice is finalized.

Editing permissions adapt based on timesheet status. Entries on draft timesheets are fully editable, while submitted or approved timesheets restrict duration and label changes to protect utilization reporting accuracy.
