Automatically categorize and action incoming email with AI labels

Triage now uses AI to read and label inbound email as it arrives, turning a noisy inbox into structured, actionable work. Define your own labels and set actions that run automatically when an email meets your criteria, so the messages that matter surface first.

This cuts the hours your team spends manually scanning and triaging inboxes, especially during peak periods.

Each label can be assigned an automated action. Options include:

  • Clear to remove the email from your Triage

  • Add to My Week or add to My Week and clear

  • Move the email to Later

  • Assign the email to a selected colleague and keep in Triage or clear

  • Automatically draft a reply using the email’s content

Engagements

Choose how to present engagement pricing

A new pricing display setting is available to help you control how to present engagement pricing to clients. You can show pricing by each service line item or summarize it into a single line, separated by fixed fee total and time & materials total if both service types are present on the engagement.

The pricing display option you choose will be what your clients see when they sign the engagement and on the engagement PDF.

Engagements is currently in open beta and is available to all customers upon request.

Billing & Payments

Post invoices is available to all

Billing admins can now post invoices without emailing them to the client, separating financial finalization from client communication.

Posting invoices will make them collectable through Karbon Payments. If a client has auto-pay enabled and a payment method on file, you need to remove the client’s saved payment methods if you wish to collect on the posted invoices outside of Karbon Payments.

Retrieve invoice PDFs directly from the API

The Invoices API now returns a direct link to the invoice PDF. If you use your own billing tools or client portals, you can pull the invoice PDF file without logging into Karbon.

GET /v3/Invoice/{InvoiceKey} includes a new InvoicePdfUrl field once an invoice is posted. The link is valid for 15 minutes, and you can call the endpoint again anytime you need a fresh one.

Time & Budgets

Lock down WIP for more accurate billing reporting

Once a billing manager reviews and signs off on WIP for a period, that number should stay unchanged. A new WIP lock date makes that official: everything on or before the date is locked, so a backdated time entry or a rate change can't revalue work that's already been reviewed.

What's new:

  • Set a rolling lock date: Everything on or before your WIP lock date is locked; move the date forward each month as you close a new period.

  • Lock what moves WIP: Blocks new, edited, or deleted time entries, expenses, custom budget rate, and rate plan changes within the locked period.

  • Admin overrides are logged: Admins with the right permission can still edit locked data when needed, and every override is recorded in an activity log.

This feature is currently in beta. You can request access to try it out.

Custom folder structures for each type of work

You can now build custom folder structures tailored to a specific service type instead of relying on one default structure for everything.

What's new:

  • Custom folder structures by service type: Create a folder structure tailored to specific service workflows.

  • Applies automatically: New work items under a customized service type will automatically inherit the right folder structure without manual setup.

  • Drag and drop: Move files between folders within a work item without leaving the page.

Integrations & API

Sync StanfordTax workpapers to Karbon

The Karbon and StanfordTax integration now sends PDF workpapers from StanfordTax directly to a work item in Karbon to save time and keep complete records of client files without the manual back-and-forth.

Update on the new header and side panel experience

Thank you to everyone who has reached out and helped shape these updates. You've shared feedback about contrast and font size, and how much you loved having Recents in the sidebar.

Recents will be back in your sidebar soon. More updates regarding contrast and font size will also be released as they’re ready.

A core part of the changes made to-date have made Karbon more accessible than ever before. The changes to the header and sidebar included over 85 accessibility improvements, helping everyone who uses the platform every day. This work is critical to Karbon’s mission of bringing in Dark Mode and High Contrast themes that will help you use Karbon the way you want.
