Major upgrades to support tax workflows
This Karbon update delivers a major advancement in workflow flexibility and automation, with new features designed to support complex, deadline-driven processes—like those found in tax and other high-volume service areas.
First-In First-Out queues, extension management tools, and conditional workflows provide greater structure, visibility, and adaptability to help teams manage critical work more efficiently.

Karbon now supports FIFO queue-based workflows, allowing you to manage and complete tasks in the order they arrive. This reflects standard industry processes and boosts efficiency for high-volume firms—particularly important if you specialize in tax. You can configure queue settings, add work to queues, and manage them from new Kanban board dashboards and list views, and within My Week.
Automation Tip: Set an automator to put work into a queue when client document collection tasks are completed.

Manage tax extensions with new workflow tools
Firms managing US tax returns can now track and process tax extensions directly within Karbon. The new extension attribute and filter, combined with updated automators, enables due date changes and better deadline management, helping reduce filing errors and penalties. Use work views to track which work items require extensions or have extensions in motion and keep work statuses focused on the overall progress of the work.
Automation Tip: Use an automator to change your work deadline and due date to 6 months after the current deadline when the extension is filed.

Build smarter workflows with conditional sections and tasks
Conditional logic is now available in work items and templates. Sections can be activated or deactivated manually or via automators, making workflows more flexible and better tailored to each client’s needs. This is especially useful for managing optional processes, such as tax extensions, within a single, standardized template.
Automation Tip: When an extension is required or filed, use an automator to activate tasks needed to kick off an extension.

Manage shared inboxes on-the-go with Shared Triage on mobile
You can now view and action Shared Triage emails directly from your Karbon mobile app. This addition ensures critical client communication doesn’t go unanswered, helping teams stay on top of SLAs and improve service delivery.
Shared Triage accounts appear in the mobile menu, where you can reply, assign, and clear emails from your phones, improving accessibility and accountability across the team.

KARBON PRACTICE INTELLIGENCE
Gain financial clarity with the Revenue dashboard
Karbon Practice Intelligence now includes a Revenue dashboard, giving you a clear, centralized view of how much revenue has been earned from both accruals and cash perspectives.
This new dashboard combines invoice, credit note, and payment data from Karbon Billing and Payments to provide real-time visibility into your firm’s financial performance.

View all posted invoices and credit notes to assess earned revenue and actual WIP balances
Analyze revenue by client, service, or time period
Report on all payments—both through Karbon Payments and manual entries

A common challenge in accounting firms is connecting the dots between work completed, invoices issued, and payments received. The Revenue dashboard solves this by tying WIP balances to ongoing work, revealing the state of invoices between approved and posted. With clearer insight into your revenue and WIP, your firm can make faster, more informed financial decisions.
BILLING & PAYMENTS
Manage billing rates with rate plans
Rate plans provides a streamlined approach to managing billing rates across roles, task types, and colleagues.
With rate plans, you can:
Define role-based rates effective from specific start dates, accommodating scenarios like annual pricing updates or promotions.
Maintain a clear history of rate changes, ensuring accurate reporting and audit trails.
Automatically apply appropriate rates to budgets and time entries based on configurable rules tied to work start or due dates.
Centralize rate management, replacing previous distributed settings across roles and colleagues.

Reverse manual payments to maintain an audit trail
You can now reverse manual payments directly within Karbon Billing. This allows firms to correct errors—such as bounced checks—while preserving the original transaction for reporting and compliance.
INTEGRATIONS & API
Xero integration updates
New contact sync filter and invoice sync beta
You can now use the new Smart Import filter to control which Xero contacts are brought into Karbon: All contacts, customers only, or customers & suppliers only.
This new filter prevents accidental syncing of unwanted client data, ensuring your Xero integration is set up for success from the get-go.
Additionally, a new beta program is now available for syncing invoices created in Karbon to Xero. If you’re using Karbon Billing and Xero, please join this program and help the team shape the Karbon and Xero invoice sync feature.
Record and delete manual payments when connected to QBOA
Sometimes you need to record or delete manual payments (e.g. payments made via check or wire transfer) in Karbon. Now you have the flexibility to manage this in either Quickbooks Online Accountant (QBOA) or Karbon.
Note that while manual payments recorded in QBOA will continue to sync back to Karbon, manual payments recorded or deleted in Karbon will not be synced to Quickbooks Online Accountant.
